Terms & conditions

By using the services of VIP Travel Services you will agree with the following terms and conditions:

 

Article 1: Reservations

  1. Reservations can be made online or by email: booking@viptravelservices.com.
  2. VIP Travel Services will always confirm a booking by email.
  3. Reservations are valid when VIP Travel Services receive a prepayment. The reservation is not valid when we don’t receive a prepayment.
  4. For sedan and minivan vehicles: When you book at least 48 hours before the scheduled departure time we can guarantee an available car with a driver when the pick-up address is in Amsterdam or at AMS Schiphol Airport.
  5. When you book within 48 hours of the scheduled departure time we will do everything to arrange an available car with a driver for you. When we have no availability we will cancel the booking and will do a refund. 
  6. When the requested vehicle is not available we will contact you to offer an alternative vehicle. When we can’t reach you we will pick you up with this alternative vehicle.
  7. For sedan and minivan vehicles: You can change your reservation without extra costs at least 7 days or more before the scheduled pick up time. When you change your reservation within 7 days of the scheduled pick up time there might be an additional fee. For the Maybach, midi Buses and Coaches: You can change your reservation without extra costs at least 23 days or more before the scheduled pick up time. When you change your reservation within 23 days there might be an additional fee. 

Article 2: Liability

  1. The tenant is always responsible for himself and his company.
  2. In case of any damage in or to the vehicle caused by one of the passengers shall be recovered from the tenant.
  3. It is not allowed to smoke or use drugs in one of the vehicles.
  4. It is not allowed to consume your own food or drinks in one of our vehicles.
  5. When one of the passengers becomes ill and have throw up in the car, VIP Travel Services is allowed to charge a minimum amount of € 250,- cleaning costs and income spoilage depends on which vehicle is hired.

 Article 3: Arrival Instructions

  1. When you arrive at the Airport we request you to switch on your mobile phone. Our chauffeur will send you a text message with information where he will meet you. When you can’t find our chauffeur and you can’t reach him on his mobile phone we request you to contact VIP Travel Services immediately. When your flight is delayed please contact us immediately so we can pick you up at the correct new arrival time without any additional costs (maximum 5 hours without any extra costs). There will be an additional fee of min. € 75,- (depends which vehicle is hired) when your flight is delayed for more than 5 hours after the original arrival time.
  2. If there are any changes in your flight number or flight date (for example a reschedule) we request you to contact VIP Travel Services immediately. When you cancel or reschedule your pick up date or pick up time within 48 hours of the original departure date and time there is no refund possible.

Article 4: Transfers

  1. Our rates are only valid for transfers with a pick up address in Amsterdam/AMS Schiphol Airport or with a drop off address in Amsterdam/AMS Schiphol Airport.
  2. When you make a booking online and the pick-up address or drop off address  is not in Amsterdam or AMS Schiphol Airport we will charge the extra kilometers/time from Amsterdam to the pick-up address.
  3. The additional cost of an extra stop during a transfer is minimum € 50,- (depends on which vehicle is hired and how long the extra stop will take).

 Article 5: Waiting Time

  1. For International and European flights: 70 minutes free waiting time is included after the plane has landed. After that, an additional minimum charge of € 50,- (depends on how long our driver has to wait) will apply.
  2. For city transfers or transfers to the Airport: 15 minutes free waiting time is included after the departure time. After that, an additional minimum charge of € 30,- (depends on how long our driver has to wait) will apply.

 Article 6: Hourly/As Directed

  1. The minimum hire for a Hourly/As Directed service is 4 hours, calculated from our garage in Amsterdam to our garage in Amsterdam.
  2. There are 30 kilometers free of charge for every hour. For example:by a booking of 4 hours you will get 120 km free drive. Thereafter we will charge an additional fee for every extra kilometer (depends on which vehicle is hired).
  3. When a Hourly/As Directed service ends in another city as Amsterdam/AMS Schiphol Airport we will charge the extra kilometers/hours back to Amsterdam.

Article 7: Force Majeure

  1. VIP Travel Services is not responsible for any delays, changes or cancellation of service due to force majeure or to other circumstances that are unforeseeable or beyond our control. For example accidents suffered by third parties on the transfer route, unexpected traffic jams, unexpected breakdowns, police checkpoints, terrorism, extreme water conditions, a defective reservation system, etc.
  2. VIP Travel Services is not responsible for any errors of his subcontractors.
  3. VIP Travel Services is not responsible for any costs due to a cancellation made by Force Majeure.

 Article 8: Lost Property

  1. VIP Travel Services is not responsible for lost items in the vehicles.

 Article 9: Cancellations

  1. When you cancel your reservation or a part of your reservation at least 7 days in advance of the scheduled departure, there is no cancellation fee.
  2. When you cancel your reservation or a part of your reservation between 2-7 days of the scheduled departure, there is a 50% cancellation fee.
  3. When you cancel your reservation or a part of your reservation within 2 days of the scheduled departure, there is a 100% cancellation fee.
  4. For the Maybach, midi buses and Coaches: When you cancel your reservation or a part of your reservation before 23 days of the scheduled pick up time there is no cancellation fee.
  5. When you cancel your reservation or a part of your reservation between 14 and 23 days before the scheduled pick up time there is a 50% cancellation fee. 
  6. When you cancel your reservation or a part of your reservation between 3 and 14 days before the scheduled pick up time there is a 75% cancellation fee. 
  7. When you cancel your reservation or a part of your reservation within 3 days there is a 100% cancellation fee. 
  8. We can’t refund the amount of entrance tickets or other stuff we bought for you in advance.
  9. We can’t refund the amount of overnight(s) booked in advance for the driver.
  10. Cancellations are valid when VIP Travel Services receive a cancellation by email.
  11. VIP Travel Services is always allowed to cancel a reservation due to an error in the reservations system or due to force majeure without a penalty. VIP Travel Services will always do a refund when the reservation is paid. The amount of the refund is not higher than the amount of the reservation.
  12. When we issue a refund, it will be minus 3% handling fee.

Article 10: No Show Policy

  1. In case of a No Show, 100% amount will be deducted and there will be no refund.
  2. For pick up transfers from the Airport we will charge a no show 15 minutes after the baggage is handled and you are not at the arrival halls/gate.
  3. For city transfers we will charge a no show 30 minutes after the scheduled departure time if you are not at the pick-up address.

Article 11: Discount Codes

  1. Discount codes are only valid for the specific service which VIP Travel Services has approved.
  2. In case of fraud we will cancel the booking.

Article 12: Vehicles

  1. VIP Travel Services guarantees that the vehicles are constantly monitored to prevent possible breakdowns.
  2. If due to breakdowns the vehicle can’t drive further, VIP Travel Services will arrange another vehicle or the tenant will be compensated for the remainder of the ride.
  3. VIP Travel Services will always provide Mercedes vehicles. When a Mercedes vehicle is not available for some reason, VIP Travel Services will provide a vehicle equivalent to a Mercedes.

Article 13: Rates

  1. Our rates are incl. all local taxes, meet & greet Airport pick up service with nameplate, free wifi on board and bottled water. Our rates are excl. 9% VAT.
  2. We don’t charge administration costs, parking costs at the Airport or parking costs in the cities, fuel surcharge, gratuity costs or State sales taxes. 
  3. In some cases we charge parking costs for the Mercedes Sprinter buses and Touring Coaches. 
  4. Our rates are excl. drivers lunch, dinner and overnight. We only charge a fee for lunch and dinner by bookings of 8 hours and more.
  5. A night surcharge of 15% will apply between 10:00 PM – 06:00 AM.

Article 14: Payments 

  1. Payments can be done by a credit card, a bank transfer, PayPal and Ideal payments.
  2. When you make a payment by a bank transfer we need to receive the full amount (no shared bank costs).
  3. There will be an additional fee of 3% by payments with a credit card or Paypal.

Article 15: On time Guarantee

  1. We offer you a 100% on time pickup guarantee. If your driver is more than 5 minutes too late you will get 50% discount on your transfer (with a maximum of € 50,-) or 1 hour for free on your sightseeing tour or hourly service (except in case of force majeure).
  2. This does not apply in the following cases:  

– Force Majeure. In article 8 you will find the definitions of force majeure

– Bookings made by our partners for a midi Buses or Coaches

Article 16: Privacy

  1. VIP Travel Services complies with the GDPR legislation and therefore only processes data that is necessary to provide an excellent service. VIP Travel Services handles the information we receive from you with care and never uses this information to sell to third parties.

Article 17: Copyright

  1. VIP Travel Services does not give permission to third parties to use and/or copy texts and/or photos from the website. It is therefore prohibited and legal action will be taken in the event of abuse.
